Privacy Policy

GuideMe ("we", "our", or "us") operates Mail Sheet, a Google Sheets™ add-on that parses Gmail™ messages and writes extracted data into spreadsheets. This Privacy Policy explains what data we access, how we use it, and your rights.

1. Data We Access

Mail Sheet requests the following Google™ account permissions:

Gmail™ (read-only): To search and read email messages based on filters you configure. We never modify, delete, or send emails.
Google Sheets™: To write extracted data into the spreadsheet where the add-on is installed.
User email address: To identify your account for subscription and quota management.
Script triggers: To run scheduled background automation if you enable it.

2. Data We Do NOT Collect

We do not store the content of your emails on our servers.
We do not share your email data with third parties.
We do not sell your data.

3. How We Use Google User Data

Mail Sheet uses Google user data exclusively to provide the core functionality of the add-on:

Gmail™ data is accessed solely to search and read messages matching the filters you configure. This data is used only to extract the fields you specify and write them to your spreadsheet. Gmail data is never stored on our servers, never used for advertising, and never shared with any third party except Google Gemini™ API when you explicitly enable AI Mode.
Google Sheets™ data is accessed solely to write parsed email data into the active spreadsheet. We do not read, modify, or access any spreadsheet content beyond writing the extracted rows.
Your email address is used solely to identify your account for subscription management and usage quota tracking. It is not used for marketing without your consent.
We do not use Google user data to develop, improve, or train AI/ML models.
We do not use Google user data for any purpose other than providing the Mail Sheet service to you.

4. Data Protection & Security

We implement the following technical and organizational measures to protect your data:

Encryption in transit: All communication between the add-on and our servers is encrypted using TLS 1.2 or higher (HTTPS).
Encryption at rest: Account data stored in our database (Supabase) is encrypted at rest using AES-256.
Minimal data access: The add-on requests only the minimum OAuth scopes necessary to perform its functions. Gmail access is read-only.
No email storage: Email content is processed in memory only and is never written to disk or stored in any database.
Secure API communication: Requests to our backend API are authenticated using a shared secret header. API endpoints are served over HTTPS only.
Access controls: Access to our production database is restricted to authorized personnel only.
AI Mode security: When AI Mode is enabled, email content is transmitted to Google Gemini™ API over HTTPS and is not retained by our proxy after the response is returned.

5. AI Processing (Optional)

If you use AI Mode, the body of each email (up to 3,000 characters) is sent to Google Gemini™ API via our secure proxy at mail-sheet.com/api/gemini solely to extract the fields you specify. Email content is not stored after processing.

7. Data We Store

Your email address — stored in our database (Supabase) to manage your subscription plan and usage quota.
Usage counters — number of imports and AI calls used in the current billing period.
Add-on configuration — saved search settings are stored in Google Apps Script™ User Properties, which are tied to your Google account and never leave Google's infrastructure.

8. Third-Party Services

Google Gemini™ API — used for AI-based data extraction. Subject to Google's Privacy Policy.
Supabase — used to store user accounts and subscription data. Subject to Supabase's Privacy Policy.

9. Data Retention

Your account data (email address, plan, usage counters) is retained as long as you have an active account. You may request deletion at any time by contacting us.

10. Children's Privacy

Mail Sheet is not intended for users under the age of 13. We do not knowingly collect data from children.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify users of significant changes via email or within the add-on.
